Provides support to the Constanta Hub Center-World Vision team for the optimal running of the activities of management and distribution of food and non-food products to refugees, as well as administrative support.MAJOR RESPONSIBILITIES1.Provide administrative support to the Constanta Hub Center-World Vision teamCarries out inventory operations of the centre's goods and fixed assets;Carries out purchases for the centre in accordance with WV procedures and policies;Performs other administrative operations to ensure the smooth running of the centre and in compliance with legal requirements;Provides administrative support to the centre team for the implementation of project activities according to donor requirements.2. Place goods in stock based on incoming documentsPerforms operations to request products from the central warehousePerforms stock receipt operations (NIR)Performs the physical reception of the goods at the entrance to the warehouse and ensures the correct preparation of the supporting documents (Consumption slip/Donation report, distribution lists)Reports to the line manager/accounting department the differences between physical and book goods that occur when goods are received in the warehouseRecords, processes and maintains information on the stock situation;Efficient use of the goods storage space3. Ensure the physical management of the stock of goods (food and non-food products) and coordinate the distribution process to refugeesOperates stock movements and keeps supporting documents; Complies with stock management legislation.Requests products from the central warehouse or depending on the project resources, purchases in time to ensure a minimum monthly stock of goods availableEnsures stock rotation if necessary, to ensure that products do not expire; Carries out weekly inventory of stock of goodsCoordinates the distribution of goods from the warehouse to refugees;Provides stock information to Ukraina Response team (central warehouse manager, administrator and project coordinator)Reports to line manager / accounting department on differences between physical and non-physical goods.4. Reporting on stock management activityReport monthly the results of the stock management activityReports weekly the quantities of goods delivered by product category and number of beneficiaries (age and gender categories);5. Compliance with WVI&WVR policies and procedures; activities are carried out in accordance with applicable legislation.maintains a pleasant climate in the workplace and in interpersonal relations, avoids conflicts and does not fuel conflict;attends team meetings, takes part in resolving any special situations.if they suspect or identify situations of abuse, neglect or exploitation of the child within or outside the work carried out, they immediately notify the direct supervisor.health and safety rules are always observed in the workplace in accordance with the instructions of the specialist inspector.KNOWLEDGE/QUALIFICATIONS FOR THE ROLERequired Professional Experience Technical diploma or university degree preferably in social work or community development fieldsDemonstrated 3-4 years of experience in relief programmes preferably with an International NGO in same capacity; and a minimum of 2-year experience on Cash transfers based program.Excellent Team player.Practical knowledge of food security and livelihoods strategies.Familiarity with international codes of conductStrong Computer skills, specifically Microsoft Office (Excel, Word, PowerPoint etc.)Ability to solve problems and prioritize many demands Language RequirementsFluency in English is essential. Ukrainian or Russian desirable.
